KEY ACCOUNTABILITIES (not all-inclusive)

•    Review Assets requirements for Country Office/Area Offices and assist in identification of new requirements to facilitate efficiency and cost effectiveness in operations and services; review Assets shelf/useful life against Corporate Guidelines and recommend replacements/disposals;
•    Participate in preparation of Assets related budgets as well as in preparation of Annual Procurement Plan for Assets in consultation with stakeholders at the Country Office & Area Offices;
•    Contribute to planning, monitoring and processing of Assets related administrative actions, including procurement requests and Long-Term Agreements (LTAs) for equipment maintenance to ensure optimal output and uninterrupted services;
•    Generate periodic Assets Reports from Corporate Assets Management Database - Global Equipment Management System (GEMS), review data integrity, analyse data to identify inconsistencies/discrepancies, if any, and recommend corrective action; 
•    Coordinate Physical Count of Assets and Reconciliation (PCAR) as per corporate timelines, investigate and report discrepancies, if any, and present to the Property Survey Board (PSB) with appropriate suggestions/options for structured deliberations and policy compliant recommendations;
•    Ensure payment for Assets related supplies and/or services are processed promptly and expenditure recognized/accrued in WINGS as per IPSAS requirements;
•    Respond promptly to a range of Assets related queries in order to support resolution of daily issues;
•    Coordinate the activities of Assets Management Team at Country Office and Area Offices to ensure individual and team objectives are met in compliance with all relevant regulations, policies and procedures, and performance plan;
•    Provide training and guidance to Asset Management Focal Persons on processing of GEMS/WINGS transactions, including on-the-job training; review Assets SOP for consistency with the changing environments and recommend adjustments/revision to ensure consistency and efficiency of services provided to all clients;
•    Perform any other duties as assigned by supervisor or Management.

MINIMUM QUALIFICATIONS

Education: Advanced Diploma in Business Management, Business Administration or another relevant field. Bachelor’s degree in relatable area is desirable.

Experience:  At least Six years progressive experience in Administration role requiring a very high level of precision, accuracy and attention to detail. preferably in an international organization, embassy, or UN system

Language: Fluency in oral and written communication in English and Somali.
